HEC Lausanne Career Center Platform Privacy Policy

1. Introduction

The University of Lausanne (UNIL) attaches great importance to respecting the privacy of individuals whose personal data is, at one time or another, processed in the context of their relationship with the University.

Article 15 of the Constitution of the Canton of Vaud (Cst-VD; BLV 101.1) and the cantonal law of 11 September 2007 on the protection of personal data (LPrD; BLV 172.65) provide that every person has the right to the protection of his or her private sphere and to be protected against the misuse of data concerning him or her.

In its capacity as data controller when using the HEC Career Center Platform (hereinafter: the Platform), the Career Center attached to the Faculty of Business Administration (HEC) (hereinafter: the Career Center) respects these prerogatives.

This policy concerns the processing of your personal data collected as a user of the Career Center Platform.

This privacy policy is dated September, 2020. By creating a "student" or "company" profile on the Career Center Platform you signify that you have read this privacy policy and agree that we process your personal data as described in this privacy policy.

This privacy policy may be updated on a regular basis, in which case you will be informed via the http://wp.unil.ch/heccareercenter/ website. Any use of Career Center Platform services, following this notification, will be considered as acceptance of the latest version of this policy. 

2. What is meant by personal data?

Personal data is any information that relates to an identified or identifiable person. Personal data can either identify you directly (e.g., your first and last name) or indirectly by combining various pieces of information about you (e.g., your telephone number).  

3. What personal data is processed by the Career Center?  

a. “Student" profile

Online access to the "student" profile on the Career Center Platform is conditional on the creation of a SWITCHaai account.

All the organisations participating in SWITCHaai are part of the same legal framework. What they have in common is the description of the SWITCH edu-ID service, which also covers SWITCHaai and includes the respective obligations.

Certain personal data from the SWITCHaai account is automatically taken in charge and displayed in the user profile on the Career Center Platform. It is possible to add the following information to the profile :

  • Personal information (surname, first name, photo, date of birth, language of correspondence, role in the application, privacy settings)
  • Address (email and mailing address)
  • CV details (program of study, length, registration number, work experience, interests, language skills, social networks)
  • Communication settings (subscriptions, favorite settings, automatic notification sending)
  • Attendance, registration and event registration information
  • Recording of job postings and events

This data cannot be changed on the participant profile on the Career Center Platform, but only on the SWITCHaai account.

This personal data is provided :

  • by the user via the registration form available online on the Career Center Platform or;
  • by the user when he/she wishes to update his/her student profile.

When a user creates a "student" profile, he/she can change at any time the visibility status of the data that he/she has published on his/her own profile. It is thus possible to choose which data to share with people using a "Company" profile. The only data whose visibility status cannot be modified are the following: 

  • Last name
  • First name

In the "student" profile on the Career Center Platform, the participation status (attendance, absence, cancellation) for all events for which the student has registered is also listed. All participation statuses on the "student" profile are visible only to the person linked to the profile and to the Career Center.

The data on your "student" profile on the Career Centre Platform is not linked or interconnected with the data collected in opinion surveys conducted by the Career Centre.

b. Company Profile

Online access to the "company" profile on the Career Center Platform is conditional on the creation of a "company" account. When this type of account is created, the following data is collected:  

  • personal information in the name of the company (first name, last name, photo, language of correspondence, role in the application, privacy settings)
  • Address (email and mailing address)
  • Communication settings (subscriptions, favorite settings, automatic notification sending)
  • Attendance, registration and event registration information
  • Recording of job postings and events

This data can be modified by the account holder directly in the profile on the Career Center Platform.

Career Center Platform "Company" user data

When using the Career Center Platform, the following personal data is collected:

  • Company Name
  • Name of main contact
  • Title
  • E-mail address
  • Language
  • Cell phone number
  • Name of secondary contact
  • Title
  • E-mail address
  • Language
  • Cell phone number

In addition to this information, we may require the following information:

  • Account Name
  • Address: street, postal code, city and country
  • IBAN
  • SWIFT
  • Account number
  • Bank key
  • Country of the bank

These data are provided:

  • through the registration form available online on the Career Center Platform or;
  • when the "company" profile is updated

The "company" profile on the Career Centre Platform also includes the participation status (attendance, absence, cancellation) for all events for which the company has been registered.

4. For what purposes are personal data processed by the Career Center?  

a. Student profile

The personal data from the "student" profile on the Career Center Platform are processed by the Career Center for the following purposes:

  • Organization of Career Center events;
  • Organization of individual sessions with the Career Center's Counsellors.
  • Sending, through invitation e-mails, information about new events at the Career Center;
  • Sending out informational e-mails containing news about the Career Center Platform, your student profile or the Career Center;
  • Creation of a list of people wishing to participate in Career Center events;
  • Sending information about registering for a Career Centre event or a one-on-one session with Career Centre Counsellors (e.g., cancelling an event, forgetting a signature on an official document when participating, etc.);
  • Contact by e-mail if data on the profile should be erroneous as well as request for correction of the erroneous data. Upon request or confirmation from the person with the "student" profile, the Career Center can modify the erroneous data in question.

The various processing operations carried out with personal data correspond to the fulfillment of the tasks of the Career Center, in particular accompanying HEC Faculty graduates throughout the process of integration into professions requiring academic training. Personal data will not be sold to third parties under any circumstances, in particular for marketing or promotional purposes.

Analyses may be carried out on the data of persons with a "student" profile on the Career Center Platform to find out the characteristics of the "student" profiles present on the Career Center Platform. However, these analyses are carried out on anonymized data.  

b. “Company" profile

The personal data from the company profile on the Career Center Platform are processed by the Career Center for the following purposes:

  • Organization of Career Center events;
  • Sending, by means of invitation e-mails, information on new Career Center events;
  • Sending informational e-mails containing news about the Career Center Platform, your company profile or the Career Center;
  • Creation of a list of companies wishing to participate in Career Center events;
  • Sending information related to an event registration (e.g., cancellation of an event or other information regarding a change of organization, etc.);
  • Contact by e-mail if any data on the profile should be incorrect and request for correction of such incorrect data. Upon request or confirmation from the person with the "company" profile, the Career Center can modify the erroneous data in question.

5. To whom is personal data communicated by the Career Center?

The personal data of users who have created a “student” profile are communicated via the Career Center Platform to the customers who have a “company” profile for the following purposes:  

  • Organization of events;
  • Recruitment for workstations or internships;
  • Sending, by means of e-mail, information on events published on the Career Center Platform and to which the student user has registered;
  • Sending, via e-mail, information about recruitment procedures related to job or internship offers published on the Career Center Platform and to which the "student" user has applied; Sending, via e-mail, information about recruitment procedures related to job or internship offers published on the Career Center Platform and to which the "student" user has applied.
  • Creation of a list of people wishing to participate in events organized by the same company;

When you register for an event published on the Career Center Platform, the Career Center may transmit your personal data to the persons implementing the same event for the purposes of attendance verification and verification of the identity of the participants.

The personal data processed by the Career Center Platform is used solely for the purpose of organizing events and facilitating the entry of students into the job market and is not transmitted to third parties who do not have a "company" profile on the Platform, unless you have expressly given your consent for this communication.

The Career Center may be required to disclose your personal data in the context of civil, criminal or administrative proceedings, at the request of a judicial or administrative authority or to comply with a legal obligation.  

6. How is personal information protected by the Career Center?

The Career Center makes every effort to ensure the security of personal data to prevent unauthorized access, use, modification or disclosure of personal data. The Career Center ensures to the extent possible that any third party to whom personal data is disclosed will treat it securely to ensure its confidentiality and integrity.

The database of the Career Center Platform is stored on a secure server of the UNIL. Any access to the personal data of the Career Center Platform is subject to the use of an individual password.  

7. How to modify and delete personal data?

At any time, there is the possibility to consult the "student" or "company" profile on the Career Centre Platform and to unsubscribe from the Career Centre Platform or to modify the "student" or "company" profile information by clicking on the link "Consult or modify your data".

Please note that a certain amount of data (first and last name, e-mail address, telephone number and date of birth) can only be changed in your SWITCHaai account. Any changes to data on SWITCHaai will result in the automatic transfer of changes to your participant profile.  

8. Storage period for personal data

The "student" and "company" data are kept by the Career Center until (a) the closure of the student/company account and (b) following the natural expiration of the "student" account when the UNIL address is no longer valid (6 months after graduation).

In accordance with art. 25 LPrD, any person may request access to his/her personal data, ask for their updating, correction or deletion. Contact by e-mail if any data on the profile should be incorrect and request for correction of this data.
